How to access your Training account Hello and welcome to eLeaP. In this quick tutorial, we’ll be taking a look at our version control feature. If you do have a course that has been out there for some time, there might be the need for you to update it. You have two options. You can certainly make a new course and update, or you can use the version control feature to make changes to a course, and be able to notify existing users of those changes. If you don’t want to notify existing users of these changes, you can definitely make a silent update to the course, or in another instance if let’s say you have some new changes that are just not working out and you want to revert to a previous version, you can definitely do that with the version control feature. So let’s take a quick look. If you put your cursor over a lesson in eLeaP, you would now see the option to add a new revision. This is the current version of this course or this lesson right here. This is what it looks like. It is a PDF that has been embedded. But let’s say I need to update this and add some more information to this. I’ll simply go to the add new revision. Click on that. And here’s what you will need to be aware of. The revision feature allows you to obviously add a new name to your lesson, to set revision number. It is sequential so unless you have to please leave that number alone because we do update it automatically. And then the change log is important because it does let you or anybody that comes up later to know why this change was done. So in my change log here, I’m just going to note that this is because there’s some new content that came up. Now I have a decision to make here. Is this a major change or a minor change? And major change means that eLeaP will put this course in temporary inactive mode so that you can make all the revisions. Once you saved the course, you will have a choice to notify users of the changes. That’s what a major change is. If it’s not a major change, the course does not go inactive. It stays active. Users that are in the course, will see the changes that you have made. So that’s the choice that you have to make. In this instance, I do want to notify my users of this change. So I’ll simply toggle their major change option to the on position and I’ll click save changes. And as I explained earlier on, you can see that this course now set to the inactive status. And at this point what I can do is I can go into my course here. I can add new materials, very easy. All right, I can save my materials, I can add whatever I need to do. Save this. And once I’m ready to go, or once I’m ready to launch this course back out, I will simply click on the activate link here or I can go to my course definition and also do that from there. So you do have multiple choices here. I’m going to go ahead and click here now, note what it says here. Save revision changes and reactivate course? This is important because we want you to be sure that you’ve done all the changes and that you are ready to reactivate this course. In this case, I am ready, so I’ll click OK. Now we will ask you again, do you want to send course notification updates to your assigned users? You have a choice, you can cancel and we’ll simply reactivate the course. If you do click OK, then what happens is all assigned users to this course will get an email saying that this course has been updated, so I’m going to click OK here and my course is reactivated. As you can see, and if I go to my inbox here, I should actually get an email that says that or an update that says new update for my course, and if I click on it I’ll see what has changed, which is that this lesson has changed. If they’re not logged in, your users will get this notification in their inboxes to be able to log in. This change occurs or the revision feature is great for both SCORM as well as non-SCORM courses. If you do update a SCORM course, it does automatically set that course to a major change and you will need to make a decision whether you want to notify users of that change or not. Let me show you how to revert a change. So we, you just saw me make a change. If, let’s say, look, this change that I’ve made, and again, if I, if I go to my course here, I’ll see the change here and if I click on the revision number, I’ll see how many revisions I have. If I have multiple revisions, I’ll see all of them here. But let’s say, look, I really, really didn’t want to have this, um, uh, change here be what I ended up with. I want to basically restore my previous changes on my previous course. I simply come over here and you see right here where it says restore. If you do click on that, we’ll ask you if you want to do a restore this. And if you agree, we will simply restore this back to what it was before. This is a powerful feature. Use it but of course, let us know if you have any questions, is a great way to make sure that your courses and training stay updated. And if you do have changes that you can come in and make those changes safely and be able to notify your users of these changes.
