Trainee OJT Records System quick tour Gamification Leaderboard View SCORM course [Create, Manage User Groups] — Hello and welcome to eLeaP. In this quick tutorial, we are looking at the user group settings section of the system. To do this, I will go to the user’s tab there and click on user groups. Now, the user groups area is how or where you create user groups. So of course if you don’t have any users or user groups added, please go ahead and click on the add user group button to be able to do that. Once you have users added, go ahead and click on the user group in question and you will have, once you click on the user group in question, you will have a sub tab that shows up called user group settings. This is important because what happens is you want to go to the user group settings, and this is where you can add what we call supervisor, manager, or coordinator type users to be able to perform certain actions in the system on your behalf as an admin. So the way to do that is to click right here where it says Add new role. Okay? And of course, what the system does is it brings up the types of users that will be able to be added to the user group, and there are only three types of users, okay? There are supervisor type users that you can add to the user group settings. There are manager type users that you can add to the user group settings, and there are coordinator users that you can add to the user group settings. So simply select who you want to add and you can then of course add them into the user group settings as your needs change. I am going to add the three different types of users for the purposes of this video. So I have a manager, I have a coordinator, and I’ve got a supervisor. Now here’s the thing about the user group settings. Now that we have done this, what this means is if these three user types go into their accounts, they’ll have a user group activity area and they will be able to get reports, for example, for the user groups that you have just added them into. Okay? So in this example here, I can pull down reports for completions reports for different courses in this particular user group. The other thing that these user types can do is they can perform assessments on your behalf. So when they log into their accounts, again, they’ll have an assessment area, and in that area they only see the users that are in groups that they manage, not everybody in your account. This is very strictly by permission. So only the users in the groups that they manage. So they can go there and they can perform assessments. It is rather easy and a pretty neat and impactful part of being able to manage your training and learning in the system. Alright, let’s go to another area that these types of users will be able to manage. Of course, they will have the skills area to get reports for skills that the users are earning or managed users are earning, and they’ll also be able to go to the OJT area where they can add OJT entries to managed users. So clearly, this is very important for you to be able to delegate some of these functions and have folks in your organization, managers, supervisors, or coordinators perform this on your behalf. Last but not least is the My Reports area. And in my reports area, for example, when you go in to add a report, what’s neat about this is that you can actually have the reports scheduled where it goes to the managers for these particular groups, right? So for example, if I schedule this course completion report for my Cincinnati group, guess what? The names that I see at the very top are the supervisor, manager or coordinator type users, and so I can select those users and have them receive these reports in this case on a weekly basis. But I do have other options that I can select. So this is another way that by performing what we just did, with just adding the supervisor, manager, and coordinator type users into these user groups, we are now able to expand the range of capabilities of the e-leap system for them to gain in this case, for example, scheduled reports where they don’t have to bother you for this type of information.
