Trainee OJT Records System quick tour Gamification Leaderboard View SCORM course New: Coordinator user type — Hello and welcome to eLaP. In this tutorial, we are looking at user management in the LMS system. To do that, we will go to the users tab here. Now for the purposes of this tutorial, we are going to talk about the different types of users as well as the user group’s function. Okay, let’s start with admins. Admin level users are folks that have access to the entire system, including billing, APIs, company or organization settings, and the like. So they’re able to click on this gear icon and have access to the entire system. You next have the instructor level users. Instructor level users are able to create courses, assign trainings, manage learning paths, create skills and credentials and OJT. They’re able to add users in, but only one at a time, and so they are able to perform administrative functions. However, they’re not able to do things like getting to billing and other more sensitive parts of the system. So that is your instructor level user. The trainee level users are mostly your users that are in the system that will be assigned to trainings, to learning paths to skills, credentials. They can manage their own OJT and in general are able to be assigned all kinds of trainings and other content in the system. The supervisor is a role that allows users to have oversight of user groups that have been added into. A supervisor can access user group reports for the groups that they manage. They can add in OJT entries for the user groups that they manage, and they can perform assessments for the groups that they manage. The next up is the manager function. The manager function is like the supervisor function, except they have an additional level of permission. A manager can access courses created as well as learning paths created, and they can assign those courses to their managed groups. What that means is if a manager goes in there and for example, sees this course here and wants to assign this course, they can only assign to groups that they manage. And so that protects you and protects the account from abuse. The next level or type of user is the coordinator type of user. Now the coordinator type of user is similar to the manager type of user, which we talked about. But in addition to being able to assign courses as well as learning paths, the coordinator can also create courses and can create learning paths. So they do have the ability to add content into the system, which is useful if you are wanting to delegate the content creation role, but still limit that particular role to specific users and specific user groups. So again, it allows you to create a structure within your organization where you can provide course creation or learning path creation rights to folks, but you don’t open them up to be able to assign, for example, company-wide or organization-wide trainings. So that is the coordinator type user. Next, we will discuss user groups. User groups are very, very functional and robust. A user group essentially allows you to be able to create collections of users and then be able to assign those collections of users to particular assets in the system. So if I take this marketing team and I go to the user group settings, I am able to add in new supervisor level users, manager level users, or coordinator level users. And this gives them access to be able to perform assessments. It gives them access to be able to get user group activity and even be able to look at reports for individual users in the system. So this gives you an overview of how the user management system works. You can add in users one at a time. If you are adding in a new user this way or you can import users into the system, this is a bulk import. For those accounts that have the API system, you are able to use the API and connect it to your HRIS or other systems to be able to create user list without having to go through the import or manual process.
