Trainee OJT Records System quick tour Gamification Leaderboard View SCORM course # eLeaP Custom Fields Tutorial Transcript Hello and welcome to eLeaP. In this tutorial, we are looking at custom fields, what they are and how to use them. For this, I am going to start in my user tab here, and then I’ll go to my sub tab called custom fields. I do have currently nine custom fields in my account, but you can add custom fields by simply clicking on the add new field button and entering in the name of the custom field and hitting save. For the purposes of this video, I will utilize the edit here to just showcase this one custom field called location. ## Adding Custom Fields to User Profiles Alright, so once you have your custom fields added in, the next thing is of course to add those custom fields into user profiles. So you’ve got multiple ways that you can do that. Okay? You can take a user, for example, this user here, and when you go to their profile and click edit user, you can use the custom fields in any of these. Okay, so for example, I will just add this as an example here and hit save. Of course. One of the things that we encourage you to also do is to utilize the custom fields in your bulk import when adding in new users. So when you download the template, it will include your custom fields that makes it super easy for you to add those fields to your user profile. So first things first, create the custom fields. Second, make sure that you add them into your user profile. If you are using our API system, just know that you can send custom field data through the API. ## Using Custom Fields in the System Okay, so once your custom fields are set up, how do you best use them in the system? Well, there’s a range of options that are literally open to you. ### Course Assignment Alright, so let’s start with courses. I’m going to go to my courses tab and I will click on this shareable course lessons here, and I’ll go to my assigned area here. And as you can see, there are no users assigned to this course. So I’ll click on either my button here or the link and that will bring up this page. And notice what we have here. I can search by username. So essentially if you know the name of the user you want to filter this by, you can put that information in there and filter and you will get the data. The other thing you can do is you can certainly utilize the custom fields. So let’s do that. I’m gonna go back to my filter and I’m going to click here where it says Show custom fields. And now you see the custom fields option. So let’s say I wanna pull up users in Louisville. So I’ll hit filter, and now the system is going to display only users in Louisville. And so what that does is it lets me narrow down who you want to be able to select to assign to this course. ### Reporting For example, the other place you can use custom fields is in your, say you wanna pull down report. So I’ll go to my stats area here and go to my completion report area here, and I can now utilize custom fields. Again, click to show custom fields, and now you can utilize that information to pull down again the types of data that you want. So for example, I’m pulling down users in this particular location because it is a custom field, so you can use that here. ### Events and Learning Paths You can use custom fields in adding users into events. If you go to the event system and you want to assign or add new users, you have the option to utilize the custom fields. You have the option to add users into learning paths using custom fields. Just simply bring up the learning path, go into the assigned users area, and once you hit to assign new users, you’ll have the option to show your custom fields and filter by those custom fields. ### Skills Module Integration If you have our skills module. Similarly, you can add users utilizing the custom fields. So right here I’ve clicked to add users, and as you can see, I have the option to again, search by those custom fields to add users. ### Credentials Module If you have our credentials module, similarly, it’s easy to utilize the custom fields there. ### On-the-Job Training (OJT) Okay, let’s go to our OJT. And the OJT allows you to add in bulk or manual reports, and you are able to be able to pull down reports either from adding in those custom fields or users from the system or importing users into the system. ## Smart Assigning Feature One of the biggest and most robust use of custom fields is the smart assigning. So how I got to this section here, of course is to click on the user tab here and then go to smart assigning. And in smart assigning, what it basically does for you is it lets you create rules. It lets you map business rules. So you can say, for example, I want users in my third shift to have access to a particular type of course, a particular path, if you will. You have a whole range of options for the purpose of this tutorial here, I have a rule here for example, that says that if your role is sales, as you can see here, and your division is something you’ll be assigned to a course, you will be assigned to a learning path. And once you have that locked in, the system is then of course able to generate those reports for you based on those custom fields. ## Support If you have questions about utilizing custom fields in the system, please do not hesitate to contact us.
