Skills can be measured in two ways, and each one has its own strengths. Percentage mode tracks training progress. Courses, OJT records and manual entries each add points, which build to a score out of one hundred and show as Beginner, Intermediate or Advanced. It’s a quick way to see how much training each person has completed. Levels mode proves qualification. There are five levels, with default names you can customize, from Not Trained to Qualified Trainer. A level is earned: the person completes the training, and the required people sign. Your account runs in one mode at a time, so choose the one that fits how you manage skills. You can switch whenever you like, and nothing is deleted. In this tutorial, I’ll set up Skill Levels from start to finish and show how a trainee moves through them. To turn on Levels, you need an administrator account. I’ll click the gear icon to open the Company Profile, then click Skills. Under Scoring mode, I’ll choose Levels. Here I can review the level names and rename any of them. Notice the Required Signatures column. Levels three and four need both a trainee and a trainer signature by default. That signature is the gate: a level isn’t recorded until everyone who must sign has signed. Now I’ll save. Next, I need a course that can collect the trainer’s signature. This is an Observation Checklist course, where a supervisor watches the trainee work and records the result. I’ll open Courses, select Forklift Practical Assessment, and go to Settings. Here I’m turning on E-Signature Required and setting the type to Multistep E-Signature, so the observer signs first and then the trainee. I’ll save the settings. Without this step, the course couldn’t be used as a Level three requirement. Now I’ll create the skill. In the Skills Matrix, I’ll open Manage Skills Matrix and click Add New Item. I’m naming it Forklift Operation, adding a tag, and saving. Next I’ll open the skill and select the Level Requirements tab. Every level reads Not configured, and until a level has a requirement, nobody can earn it. I’ll click Add Requirement and choose Level one, In Training. For the requirement type, I’m choosing Course, and selecting Forklift Safety Basics. I’m leaving Apply to set to This skill only, and clicking Save. Levels one and two can also use an Assessment, or an OJT Task, which is a task that a trainer records. Level two works the same way. I’ll choose Level two, select Course, and pick Forklift Hands-On Practice. Notice that each level shows how many requirements it already has. I’m using a different course for each level, so people move up in stages. Level three is different. I’ll choose Level three, Qualified. Because this level needs a trainer’s signature, Assessment is the only type offered. I’ll select Forklift Practical Assessment and save. If your course doesn’t appear in the list, check two things: it must be an Observation Checklist course, and it must use Multistep E-Signature. If many skills share the same requirements, Level Templates can save you time, but for now I’m building this skill directly. With three levels configured, it’s time to add a trainee. I’ll open the Users tab and click Add User, select Susan, click Add Selected, and confirm. There’s nothing else to fill in. Susan starts at Level zero, and her first course is assigned automatically. Now let’s see Susan’s view. I’ll open her profile and refresh the page. Her first course, Forklift Safety Basics, is already waiting. I’ll open it and complete it. This course asks for an e-signature. The skill doesn’t require that at this level; it’s a setting on the course itself. Susan signs with her own credentials, because a signature only counts under the signer’s own login. Susan is now at Level one, In Training, and her Level two course has been assigned automatically. There it is. She completes Forklift Hands-On Practice and signs, and she moves up to Level two, Can Perform With Supervision. Level three works differently, because it requires an observation. The assessment doesn’t appear for Susan until the trainer has completed their part. In your organization, the trainer is the supervisor or manager of Susan’s user group. You can assign the assessment to that group ahead of time, and the supervisor receives an email only when Susan has finished the earlier levels and is ready to be assessed. Separate videos show how to set up user groups and supervisors, and if you need help, please contact eLeaP. For this demonstration, I’ll act as the supervisor. I’ll open Forklift Practical Assessment and start Susan’s observation. Working through the checklist as if I were watching her perform each task, I’ll complete it. Then I’ll e-sign as the observer. Once I’ve signed, the system routes the assessment to Susan automatically. Back in Susan’s profile, I’ll refresh the page. The completed observation now appears. As Susan, I’ll review it and e-sign as the observee. Both signatures are in, and she is now at Level three, Qualified. Let’s look at the result. On Susan’s skills page, Levels one, two and three are complete. Now I’ll return to the administrator view and open the skill. Clicking History on Susan’s row shows her progression through the levels, with the date and the person behind each change. And to find everyone who isn’t qualified yet, I can use the Below Qualified filter on the Users tab. One caution: don’t use Set as Completed on a course that requires a signature. It can award a level without anyone signing. Skill Levels give you a clear way to show that your people are qualified, with the training, the signatures and the history all in one place. If you have questions about this or any other feature, please contact us. Thanks for watching. Release Notes Skill Levels – October 23, 2026 Skills can now be measured in Levels mode as well as Percentage mode. An account runs one mode at a time, and switching does not convert or delete anything already recorded. Five levels, 0 to 4, with default names Not Trained, In Training, Can Perform With Supervision, Qualified and Qualified Trainer. The names can be customized. Levels are earned, not calculated. A level is recorded when its requirements are complete and any required signatures are in. Required signatures are set per level, with Trainee and Trainer options. Levels 3 and 4 require both by default. Level requirements can be a Course, an Assessment (Observation Checklist course), an OJT Task or, at Level 4, a Trainer qualification. The types offered depend on the level’s signature settings. Requirements can apply to one skill, every skill with a tag, or every skill in a role. Level Templates define a set of requirements once and reuse it across skills. Editing a template updates every skill that uses it. Assign the next level’s training: the next level’s courses are assigned automatically when a user is added to a skill and each time a level is earned. Supervisors, managers and coordinators of user groups receive an email when a learner completes the required level and is ready for the next assessment. Level History records every change to a user’s level, with the date, the reason and who made it. Skill lists, the overview and exports can be filtered by level, including Below Qualified, and show level names instead of percentages.
